30 tickets a week on my own — gmail with labels or is a paid help desk worth it

Support is one inbox, support@ forwarding into my personal Gmail, about thirty messages a week and growing slowly. It works right up until it does not: last week I found two emails from nine days ago that I had opened, meant to answer, and lost under everything else.

Every comparison article is written for a support team of six. I want to know whether a solo person at thirty a week is better off spending twenty five a month on a proper tool, or whether that is procrastination with a subscription attached.

    Stayed on Gmail until about fifty a week, and what eventually pushed me over was exactly your problem, not the volume.

    Before you pay for anything, fix the specific failure. Make a label called waiting and a filter that puts everything from support@ into an inbox section that never collapses. Turn on templates for the six answers you write constantly. Star means unanswered and nothing else, ever. That combination removed the lost email problem entirely for me for over a year, for nothing.

    What a real desk gives you that Gmail cannot: it is obvious at a glance what is unanswered, replies come from the product rather than from you personally, and you get a saved reply library that is not tied to one machine. All useful. None of it is what is hurting you today.

      The from address part turned out to matter more than I expected. Replying as support@ rather than my own name meant people stopped emailing my personal address directly for months afterwards, which is a mess you cannot undo once it starts.

    The pricing shape, roughly, and check the pages yourself because these move constantly.

    Some of the well known desks have a genuinely free tier aimed at very small teams. Paid entry plans tend to be priced per user somewhere in the low tens per month. Some tools that look attractive are priced per seat with a minimum number of seats, which makes them nonsense for one person. There are also flat priced options that do not care how many conversations you have.

    Cost per ticket at your volume: twenty five a month over about a hundred and thirty tickets is roughly nineteen cents each. That is not the question. The question is whether it saves you fifteen minutes a week, because at any honest value of your evening it obviously does if it does.

      Read the free tier limits before importing anything. They are usually capped on stored contacts or on history rather than on seats, and finding out after you have moved three years of mail across is a bad afternoon.

    The tool is not your bottleneck at thirty a week. Look at what the thirty are.

    Tag them for two weeks and I would bet a large share are the same five questions. Five docs pages and one better empty state removes a meaningful chunk of them permanently, and that compounds while a help desk subscription does not. Answering faster is worth less than not being asked.

    If after that you are still at thirty a week and they are all genuinely different, then buy the tool with a clear conscience.

    Whatever you pick, make sure the address you reply from is properly authenticated. A support address on a domain or subdomain with no DKIM or DMARC will quietly land in spam for some percentage of your customers, and the failure mode is invisible to you: they think you ignored them. Send yourself a test from it to a couple of the big free mail providers and look at the headers.

    Gmail until it hurts. What is hurting you is not knowing what is unanswered, and a label fixes that this afternoon for nothing.

    I moved at around twenty a week purely because I was answering support from my phone at traffic lights and making mistakes. The single biggest change was saved replies with placeholders, which turned my most common answer from four minutes into twenty seconds. Second biggest was seeing which customer an email came from without going to look them up. Neither of those is worth twenty five a month on its own but together it stopped being a chore I dreaded.
